Privacy Policy for Writers Room

Writers Room (the "App") is operated by Anywhere Arts ("we," "our," or "us"). This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have. It applies to your use of the Writers Room iOS application and the related cloud services that power it.
By using Writers Room, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.
1. Who We Are and How to Contact Us
Writers Room is provided by Anywhere Arts. For any privacy question or request, or to exercise your rights, contact us at writersroomdev@gmail.com.
For the purposes of the EU and UK General Data Protection Regulation (GDPR), Anywhere Arts is the "data controller" of your personal information.
2. Information We Collect
Information you provide:
- Account information. You create an account using Sign in with Apple. Depending on what you choose to share with Apple, we receive a unique account identifier and your name and email address (which may be an Apple "private relay" address that forwards to you).
- Profile information. You may add or edit a display name, username, profile photo (avatar), short bio, contact email, phone number, and role. The bio, email, phone, and role are optional, and you control whether each is shown to other users.
- User content. We store the content you create or upload, including projects, screenplays and scripts, lyrics, notes, outlines and story beats, checklists, photos and images, and audio recordings and their transcripts.
- Collaboration. When you invite people to a project, join a voice room, block a user, or interact with collaborators, we process the information needed to carry out those actions.
Information collected automatically:
- Device notification token. If you enable notifications, we store the Apple Push Notification service (APNs) token for your device so we can deliver push and "ring" alerts.
- Technical and log data. To operate and secure the service, our infrastructure processes basic technical information such as your authentication session, app and operating-system version, timestamps, and error logs.
We do not use third-party advertising networks, analytics SDKs, or cross-app tracking, and we do not collect the Identifier for Advertisers (IDFA) or your precise location.
From third parties: When you use Sign in with Apple, Apple provides the account identifier and the name and email you authorize.
3. Audio, Recordings, and Transcription
- Voice rooms. When you join a project voice room, your microphone audio is streamed live to the other participants through our real-time audio provider, LiveKit. Voice-room audio is not recorded by the App.
- Recordings. Audio you deliberately record is stored on your device and synced to your account's secure cloud storage so you can access it across your devices and share it with collaborators on that project.
- Transcription. If you choose to transcribe a recording, the audio is sent to Apple's speech-recognition service, which returns a text transcript. This processing is initiated by you, per recording.
4. How We Use Your Information
- Create and manage your account and authenticate you.
- Provide core features: writing tools, document sync, real-time collaboration, voice rooms, recording, and transcription.
- Deliver push and "ring" notifications you have enabled.
- Enable safety and moderation features, such as blocking and host muting.
- Maintain, secure, troubleshoot, and improve the App.
- Process subscriptions and in-app purchases (handled by Apple).
- Comply with legal obligations and enforce our Terms of Service.
5. How We Share Your Information
We do not sell your personal information. We share information only as follows:
5.1 With Other Users
Collaboration is the point of Writers Room, so some information is visible to others. Your profile — display name, username, and avatar — is visible to people you collaborate with, and your avatar image is stored at a publicly accessible URL so it can load quickly. Optional fields (bio, email, phone, role) are shown only if you choose. If you enable "discoverable by username," other users can find you by your username. Project and room participants can see the shared documents, recordings, and live audio, and who else is present.
5.2 With Service Providers (Sub-processors)
We use a small number of trusted providers that process your information only on our behalf:

5.3 For Legal and Safety Reasons
We may disclose information if required by law or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of our users, the public, or Anywhere Arts.
5.4 Business Transfers
If Anywhere Arts is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.
6. Notifications
With your permission, we send push notifications, including "ring" alerts when a collaborator invites you to a live voice room. You can turn notifications on or off at any time in your device's Settings.
7. Data Retention
We keep your personal information for as long as your account is active or as needed to provide the App. When you delete your account, we delete your profile and the content stored under your account, including recordings and photos in cloud storage, and we remove your device notification token. Residual copies may persist for a limited period in routine backups before they are overwritten, and content you shared with collaborators who own a project may remain available to them. Content stored only on your device is removed when you delete the App.
8. Your Rights and Choices
Directly in the App you can access and update your profile, control the visibility of optional profile fields and username discoverability, block other users, disable notifications in device Settings, and delete your account and content using "Delete Account" in Settings.
EEA and UK (GDPR). You have the right to access, correct, delete, restrict, or object to our processing of your personal information; the right to data portability; and the right to withdraw consent at any time. You also have the right to lodge a complaint with your local data protection authority.
California (CCPA/CPRA). You have the right to know what personal information we collect and how we use and disclose it; to request access to, deletion of, or correction of your personal information; and to not be treated differently for exercising these rights. We do not sell or "share" your personal information for cross-context behavioral advertising.

9. Legal Bases for Processing (GDPR)
Where GDPR applies, we rely on: performance of a contract (to provide the features you request); consent (for notifications, optional profile details, and transcription you initiate); legitimate interests (to secure, maintain, and improve the App and prevent abuse); and legal obligation.
10. International Data Transfers
We and our service providers are based in, or process data in, the United States. If you use the App from elsewhere, your information will be transferred to and processed in the United States. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.
11. Children's Privacy
Writers Room is not directed to or intended for anyone under the age of 16, and you must be at least 16 to use it. We do not knowingly collect personal information from anyone under 16. If you believe a person under 16 has provided us personal information, contact writersroomdev@gmail.com and we will delete it.
12. Security
We take reasonable measures to protect your information, including encryption of data in transit, authentication through Sign in with Apple, and database access controls (row-level security) that restrict your data to you and the collaborators you choose. No method of transmission or storage is completely secure, so we encourage you to keep independent backups of important work.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date above and, where appropriate, provide additional notice within the App.
