Privacy Policy for Writers Room

Writers Room (the "App") is operated by Anywhere Arts ("we," "our," or "us"). This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have. It applies to your use of the Writers Room iOS application, our website at anywherearts.com, and the related cloud services that power them.
By using Writers Room, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.
1. Who We Are and How to Contact Us
Writers Room is provided by Anywhere Arts. For any privacy question or request, or to exercise your rights, contact us at writersroom@anywherearts.com.
For the purposes of the EU and UK General Data Protection Regulation (GDPR), Anywhere Arts is the "data controller" of your personal information.
2. Information We Collect
Information you provide:
- Account information. You create an account using Sign in with Apple. Depending on what you choose to share with Apple, we receive a unique account identifier and your name and email address (which may be an Apple "private relay" address that forwards to you).
- Profile information. You may add or edit a display name, username, profile photo (avatar), short bio, contact email, phone number, and role. The bio, email, phone, and role are optional, and you control whether each is shown to other users.
- Your public page. If you set up a public page, we store what you add to it — the name you choose, role, location, school, bio, representation, a contact email if you add one, links, what you're open to, credits and four favorite works — and the scripts you publish to it. If you change your username after your page goes live, we keep the old one so links to your page keep working.
- Scripts you send privately. If you send a script privately, we store a copy of it, the name you enter for the person you send it to, and the name you send it from.
- User content. We store the content you create or upload, including projects, screenplays, stage plays and other scripts, lyrics, books and manuscripts, notes, outlines and story beats, scene cards and storyboards, checklists, call sheets, script revisions, photos and images, and audio recordings and their transcripts.
- Messages and collaboration activity. We store the messages, replies, reactions and photos you send on a project's Writers Board; the polls you create and how you vote in them; the calendar events you schedule and your responses to them; the notes, beats and comments you assign to people; and your read state, mutes and notification preferences.
- Files you import. When you open a file into Writers Room from another app or from your device — a Final Draft (
.fdx), Fountain, PDF, RTF or plain-text script — we read it to create a script in your project, and the imported copy is stored with your other content. - Collaboration. When you invite people to a project or a team, join a voice room, assign work, block a user, report a message, or otherwise interact with collaborators, we process the information needed to carry out those actions. Team membership, and the sections of a project each collaborator is allowed to see, are stored with that team and project.
Saving a photo from Writers Room to your device's photo library uses an add-only permission. The App never reads your photo library.
Information about other people that you provide:
Some features let you record information about people who may not use Writers Room. A call sheet records the cast and crew for a shoot day — names, phone numbers, email addresses, call times, departments and roles. When you send a script privately, we store the name you enter for the person you send it to and show it only to you.
We store this only so your collaborators can work on the sheet and so we can produce the PDF you export. We never contact the people listed, and we delete it when the call sheet or its project is deleted. Where GDPR applies, you are the data controller for this information and we act as your processor; you are responsible for having the right to enter it, as set out in our Terms of Service. If you are named on a call sheet and want it corrected or removed, contact the production that created it, or write to us at writersroom@anywherearts.com.
Information collected automatically:
- Device notification token. If you enable notifications, we store the Apple Push Notification service (APNs) token for your device so we can deliver push and "ring" alerts.
- Reads of scripts. When someone opens a script on a public page, we add one to its read count, which doesn't say who read it. To count each browser once a day, the website stores a small note in that browser. When someone opens a script sent to them privately, we record when they first opened it and show that to the writer who sent it; the page says so before it opens.
- Technical and log data. To operate and secure the service, our infrastructure processes basic technical information such as your IP address, authentication session, app and operating-system version, timestamps, and error logs.
- Diagnostics. When the App crashes or hits an error, we send a report to Sentry, our error-monitoring provider, so we can find and fix the problem. A report contains the error itself, the app and operating-system version, and a random identifier for your installation of the App. It never contains your scripts, notes, messages, recordings, name or email address. The identifier is not linked to your account, and it is replaced if you delete and reinstall the App. You can turn diagnostics off at any time in Settings → About → Share diagnostics.
Apart from the error-monitoring described above, we do not use third-party advertising networks, product-analytics SDKs, or cross-app tracking, and we do not collect the Identifier for Advertisers (IDFA) or your precise location. We do not track what you do inside the App.
From third parties: When you use Sign in with Apple, Apple provides the account identifier and the name and email you authorize.
3. Audio, Recordings, and Transcription
- Voice rooms. When you join a project voice room, your microphone audio is streamed live to the other participants through our real-time audio provider, LiveKit. Voice-room audio is not recorded by the App.
- Recordings. Audio you deliberately record is stored on your device and synced to your account's secure cloud storage so you can access it across your devices and share it with collaborators on that project.
- Transcription. If you choose to transcribe a recording, the audio is sent to Apple's speech-recognition service, which returns a text transcript. This processing is initiated by you, per recording.
4. How We Use Your Information
- Create and manage your account and authenticate you.
- Provide core features: writing tools, document sync, real-time collaboration, voice rooms, recording, transcription, and your public page.
- Provide collaboration features: the message board, reactions, polls, the project calendar, assignments, and teams.
- Produce the documents you export and hand them to the app or person you choose.
- Deliver push and "ring" notifications you have enabled.
- Enable safety and moderation features, such as blocking, reporting, and host muting, and review the reports we receive.
- Maintain, secure, troubleshoot, and improve the App.
- Process subscriptions and in-app purchases (handled by Apple).
- Comply with legal obligations and enforce our Terms of Service.
5. How We Share Your Information
We do not sell your personal information. We share information only as follows:
5.1 With Other Users
Collaboration is the point of Writers Room, so some information is visible to others. Your profile — display name, username, and avatar — is visible to people you collaborate with, and your avatar image is stored at a publicly accessible URL so it can load quickly. Optional fields (bio, email, phone, role) are shown only if you choose. If you enable "discoverable by username," other users can find you by your username. Project and room participants can see the shared documents, recordings, and live audio, and who else is present.
Messages, reactions, poll votes and event responses are visible to the other people on that project; a poll can show who voted for which option. If a project belongs to a team, your profile is visible to everyone on that team's roster. A project's owner can limit a collaborator to particular sections of a project.
If you turn on a public page, it appears at your username and on our Writers page, unless you turn that off, and everything on it, including the scripts you publish there, is visible to anyone on the internet without signing in. Turning the page off hides it, but a published script stays reachable at its link until you unpublish it or take your scripts down. If you change your username after your page goes live, the old one forwards to your page until someone else takes it. A script you send privately can be read by anyone with its link until you switch the link off.
Content you export or share — a script, card deck, manuscript, call sheet or revision packet — goes to whichever app or person you send it to, and is no longer covered by this policy or by our access controls.
5.2 With Service Providers (Sub-processors)
We use a small number of trusted providers that process your information only on our behalf:

5.3 For Legal and Safety Reasons
We may disclose information if required by law or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of our users, the public, or Anywhere Arts.
5.4 Business Transfers
If Anywhere Arts is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.
6. Notifications
With your permission, we send push notifications: "ring" alerts when a collaborator invites you to a live voice room, new messages on a project's Writers Board, work that someone assigns to you, and announcements and reminders for calendar events. A message notification may include the sender's name and a short preview of the message, which is delivered through Apple's push service. You can turn notifications on or off at any time in your device's Settings, and you can mute an individual project, board or event inside the App.
7. Data Retention
We keep your personal information for as long as your account is active or as needed to provide the App. When you delete your account, we delete your profile and the content stored under your account, including recordings and photos in cloud storage, your public page, your published scripts and the scripts you've sent privately, and we remove your device notification token. Unpublishing a script deletes its file, and switching off a private link deletes its copy.
Deleting a project deletes the content stored under it, including its messages, polls, events, and call sheets — and the cast and crew details recorded on those call sheets. Residual copies may persist for a limited period in routine backups before they are overwritten, and content you shared with collaborators who own a project may remain available to them. Content stored only on your device is removed when you delete the App. Files you have already exported or shared out of the App are outside our control and are not affected by deleting your account.
8. Your Rights and Choices
Directly in the App you can access and update your profile, control the visibility of optional profile fields and username discoverability, block and report other users, disable notifications in device Settings, and delete your account and content using "Delete Account" in Settings.
You can also export your work at any time from Settings → Data & Storage → Export All Projects, which produces a text or PDF copy of the projects you select. This is the simplest way to exercise your right to data portability.
EEA and UK (GDPR). You have the right to access, correct, delete, restrict, or object to our processing of your personal information; the right to data portability; and the right to withdraw consent at any time. You also have the right to lodge a complaint with your local data protection authority.
California (CCPA/CPRA). You have the right to know what personal information we collect and how we use and disclose it; to request access to, deletion of, or correction of your personal information; and to not be treated differently for exercising these rights. We do not sell or "share" your personal information for cross-context behavioral advertising.

9. Legal Bases for Processing (GDPR)
Where GDPR applies, we rely on: performance of a contract (to provide the features you request); consent (for notifications, optional profile details, and transcription you initiate); legitimate interests (to secure, maintain, and improve the App and prevent abuse); and legal obligation.
For the information you enter about other people — for example the cast and crew on a call sheet — you are the controller and we act as your processor, handling it only to provide the App to you.
10. International Data Transfers
We and our service providers are based in, or process data in, the United States. If you use the App from elsewhere, your information will be transferred to and processed in the United States. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.
11. Children's Privacy
Writers Room is not directed to or intended for anyone under the age of 16, and you must be at least 16 to use it. We do not knowingly collect personal information from anyone under 16. If you believe a person under 16 has provided us personal information, contact writersroom@anywherearts.com and we will delete it. Public pages are only for users 18 and older, who confirm it when they turn one on.
12. Security
We take reasonable measures to protect your information, including encryption of data in transit, authentication through Sign in with Apple, and database access controls (row-level security) that restrict your data to you and the collaborators you choose. No method of transmission or storage is completely secure, so we encourage you to keep independent backups of important work.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date above and, where appropriate, provide additional notice within the App.
